Meeting the Small Business Technology Challenge – Marketing Visionary, Author & Speaker Jack Shaw

The National Small Business Association’s recent Small Business Technology Survey found that 98 percent of small business owners agree that it’s important to keep up with new technology — but this can be difficult, and expensive, if you don’t do it right.

The same survey found that small businesses face many concerns when it comes to their technology. Approximately half of all small business owners consider security issues, upgrade costs, and maintenance as top technology challenges.

The aftermath of failure to properly maintain, upgrade, secure, and back up your IT infrastructure can be grim indeed.

• When your systems are down, you can’t communicate effectively with customers, suppliers, or other employees,
• This can make it difficult, if not impossible, to enter sales orders.
• It can dramatically reduce the productivity of your people, and
• Interfere with the smooth functioning of your business processes.
• These problems, in turn, can affect your reputation in the market,
• Cut into your profits and, ultimately,
• Cause your business to fail.

And yet, about one-quarter of small-business owners handle tech support for the entire company themselves. And 43 percent spend more than two hours a week just on technology problems.

The market for telecommuting and mobile computing is also exploding. Forrester Research projects that, by 2015, over 85% of the workforce will be mobile. And International Data Corporation forecasts that the U.S. alone will add more than 3 million corporate home office households between 2011 and 2015. Thus, small businesses are recognizing the need to provide comprehensive, well-managed support for telecommuters and mobile workers.

There are also direct threats to small businesses’ IT infrastructures. For example, there are the security threats posed by hackers who realize that small businesses typically lack the technical expertise to properly set up robust security and so look at small businesses as easy targets.

Industry experts have found that 80 percent of small businesses that experience a security breach go bankrupt or suffer severe financial losses within two years of being violated. If you don’t think you have the time and expertise to monitor these threats, you need to depend on a trusted technology partner who does.

For most small businesses, email consumes a very substantial part of your telecommunications bandwidth. But, it’s currently estimated that over 90% of all email is spam. When you have to download all your inbound email to in-house email servers, you’re wasting the bandwidth used by that 90%. So many businesses are moving to secure, hosted email services. By having your email service hosted, you download only the 10% or less of incoming emails which are legitimate communications.

It’s also critical that small businesses have a current copy of their data stored somewhere safe and accessible. With a purely on premises infrastructure, data is still backed up onsite where it’s subject to loss in the event of fire or natural disasters. Automatically storing archived data off-site in a secure private cloud keeps data safe but rapidly and easily accessible in the event of disaster. An outside IT provider can be a tremendous asset — freeing you up to give your full attention to your business.

These days, you need an IT service provider who can offer you a broad portfolio of capabilities. It can start with managing, maintaining, and upgrading your internal IT infrastructure. But it should also include offering hosted email and web services as well as Cloud-based backup and disaster recovery.
For those companies that are ready, moving your data and systems entirely to the Cloud can help to reduce costs. It’s highly scalable, universally accessible, and provides for automated backups and upgrades.

These are just some of the reasons I’m so impressed by DynaSis and the range of services it offers to help businesses more profitably manage their IT infrastructures. DynaSis can help you by:

If you’d like more help understanding these new technologies, give the people at DynaSis a call. They’ll be glad to show you various ways to meet your technology needs.

Colonial Williamsburg & Office 365

Colonial Williamsburg, the restored eighteenth-century capital of the British Empire’s largest, wealthiest, and most populous outpost, is the world’s largest living history museum. Historians and costumed interpreters tell the story of Williamsburg, Virginia, and the pre-revolutionary challenges it faced. About 1.5 million people visit the attraction annually, so employees require messaging, communications, and collaboration solutions to help ensure that visitors have the best possible experience. Colonial Williamsburg decided to subscribe to Microsoft Office 365, a services offering that combines the familiar functionality of the Office desktop suite with cloud-based versions of next-generation communications and collaboration services. By using Office 365, the museum found it could do a better job of marketing to and providing services for customers, reducing costs by $27,000 annually.

Secure Record Storage Atlanta Georgia Document Storage

* Secure Record Storage is a subsidiary of AC White Relocations
* AC White Relocations has been in business since 1926
* Multiple Locations, Large Fleet — ready to handle multiple moves simultaneously
* State-of-the-art storage facilities, climate controlled, secure
* Technology implementation for detailed reporting, and tracking
* Professionally trained and uniformed crews
* First class customer service and client support by long term experienced, dedicated employees

The people you work with can make all the difference in your data storage experience and we feel this is where we really separate ourselves from our competition. Our friendly, efficient Customer Service team is comprised of long-term employees who will get to know you and your account. You can ask for them by name to be sure you’re speaking with someone who is familiar with an ongoing need, so you don’t have to explain yourself multiple times. No impersonal call centers or temp-of-the-week handling your request.

Quick delivery and pick-up — next day or rush 24/7/365 — of your data by our uniformed drivers in clean, secure vans makes exchanging your records smooth and easy. You can be confident that everything is being properly handled.

Our full service line and great facilities are only as good as the people who will work with you, and that is why we are your best choice in data storage. Talk to us and let us show you why.

Our records and digital storage facilities are among the best in the industry. They are meticulously maintained and monitored to assure everything we store is safe and protected from environmental damage or disaster. Access by only authorized personnel keeps your records secure from loss or misuse.

We invite you to visit our facilities and see for yourself how your data will be cared for. Call to speak to a representative to set up a tour.

Secure Record Storage versus Self-Storage or Large National Chains

You have two options for storing your own records; keep them in your office or in a self-storage facility. Neither of these options provides you with the efficiency and security of our records management.

While storing your records in your office provides you with easy access to them, there are many disadvantages. You are using valuable and expensive office space as warehouse space. Your records are accessed, pulled and re-filed and can become difficult to find, or there is the risk of private files being seen by unwanted eyes. Plus they are not as protected and secure from fire or theft.

Moving your records to a self-storage facility saves you office space, but you pay for a certain size of room, whatever percentage of it you use which increases your cost. The rooms are not set up for file storage, and not as secure and protected. You or your employees must fetch and return needed files, wasting time and files are often not put away properly.

We know your name

Storing your records with a large national chain presents a different set of problems. Customer Service suffers because you rarely get to speak to the same person twice, and end up re-explaining what you need several times. Their rules and conditions are complex and cumbersome as they try a one-size-fits-all. Unless you’re a huge account, getting attention can be difficult.

Our customer service support personnel are long-term members of our team. They will get to know you and your account and you will get to know them. We’re large enough to offer the highest levels of protection, but at a lower cost. As a local company, we have a more vested interest in the success of the businesses.

How To Switch

If you are currently storing your information with another vendor and for some reason or reasons you are not satisfied. Then consider “Secured Record Storage” there is no cost to you, for one of our consultants to visit you and discuss all options to see if we can design an information management program for your company.

We will help you transition from your current records vendor as seamlessly as possible. We will import and error-check your existing database and utilize your current boxes. We don’t charge transfer or shelving costs and can offer termination fee reimbursement.

Our goal is to create a smooth transition with no hidden cost, and provide a service that exceeds your expectations.

Our interactive (HIPAA, HiTech compliant) software can be accessed online so our clients can view inventory, place order for pick up or delivery for a box or file. There are many other functions our clients can perform with our user-friendly software.
